1. Collection of personal data

You will always be informed in connection with collection of personal data about you. The personal data collected by us may include, for instance;

  • Your name

  • Your Social security number if necessary

  • CVs and relevant information on education and training

  • Your email address

  • Your IP address and similar identification data as well as information about your navigation on the website.

If you are requested to submit your data, e.g. when you contact us, it will always be stated whether the submission is voluntary or necessary for completing the desired action.


Your personal data is collected in one or several of the below cases:

    When visiting our Site, certain technical and other information is automatically sent by your computer to us. The legitimate interest is for us to improve our website and to understand how our users use www.ajvaccines.com to provide better service for you.

    All visitors have to sign in at the Reception. The legitimate interest is to ensure safety at the premises.

If you use your email address in more than one of the above cases, your personal data will only be collected and registered in one place. 

2. Use of personal data

We will use personal information only in ways that are compatible with the purposes for which it was collected or subsequently authorised by you. AJ Vaccines A/S will take reasonable steps to ensure that personal information is relevant to its intended use, accurate, complete, and current.


Please note, that we will only use your personal data to send marketing material with your prior explicit consent in accordance with GDPR article 6(1)(a), unless applicable law allows us to contact you without your prior consent.

AJ Vaccines A/S keeps statistics about which areas of the site our users visit to develop the Site for a better customer experience and to provide customised services and content recognizing your specific needs and interests. We do use data about how our users navigate the site, to better understand how our users use the www.ajvaccines.com, and from that we try to improve the website. Knowledge about the users’ use of the website is gained with help from the collected data.
This data does not contain personal information.

We are not able to see where you come from or where you are going on the internet after you leave our site.
We do not sell or otherwise disclose information about how our user navigate and use our website.

In general, we do not disclose your personal data to a third party without your consent.


Your personal data is disclosed to partners of AJ Vaccines A/S who deliver services on behalf of AJ Vaccines A/S. These partners only process the personal data on behalf of AJ Vaccines A/S and in accordance with the instructions of AJ Vaccines A/S.


Under specific circumstances and pursuant to legislative requirements, it might be necessary to transfer information to public authorities or the police.


In the case of a re-organisation, full or partial sale of the company, any disclosure in such connection will be in accordance with current legislation for the processing of personal data. 

4. Transfer to third countries

We do not currently transfer your personal data to countries which are located outside the EU/EEA. However, we hold the right to do so.


If your personal data is transferred to data controllers or data processors, which are located in countries outside the EU/EEA not ensuring an adequate level of data protection, such transfer will be adequately safeguarded via the EU Commission’s Standard Contractual Clauses and we will update this policy with a list of the recipients. 

5. Deletion of personal data

We will delete your personal data when we no longer need to process it in relation to one or more of the purposes it was collected for. However, the data may be processed and stored for a longer period in anonymised form.


If you visit us at our premises, we have other regulations. Generally, your personal information will be stored for a period of 12 years unless we keep your personal data for a longer period of time due to legal requirements, GMP / GXP rules or for the purpose of defending a specific claim or dispute.

You are entitled, at any time to be informed of the personal data that we process regarding you, as part of your right to access and exercise your other rights as stated below with certain legislative exceptions . You have the right to object to the collection and further processing of your personal data. Furthermore, you have the right to have your personal data rectified, erased or restricted and the right to have this information transmitted to another data controller (data portability). You may, at any time, withdraw any consent you have given and we will not process your personal data any further, unless we can continue the processing based on another purpose.

AJ Vaccines A/S may refuse a request or obtain a reasonable fee for fulfilling a request if the request is manifestly unfounded or excessive or AJ Vaccines A/S has another legitimate ground for refusing the request. Such legitimate grounds could e.g. prevent AJ Vaccines A/S from deleting personal data that needs to be retained due to local legal requirements or to maintain an audit trail until the end of local claim period. AJ Vaccines A/S may also need to retain the data to be able to fulfil contractual obligations.

10. Data Ethics Policy
Purpose

The purpose of this data ethics policy (the ‘Policy’) is to provide transparency on how we at AJ Vaccines A/S (‘AJ Vaccines’) work with data, including especially personal data.

In more detail, the Policy describes our approach to good data ethics and the values and principles we apply in this regard which make AJ Vaccines a credible and competent company for both customers, suppliers, authorities, employees and end-users of our products. 

Scope

The Policy covers all types of data, including especially personal data. This Policy applies to AJ Vaccines, its subsidiaries and branches and all employees thereof. 

Values and principles

Our values are that data should be processed with due care and with consideration for dignity, privacy, self-determination and equality, described in more detail below.

Dignity – Our processing of data must not be used to harm the individual person, and individuals should have the primary benefit of the data processing. This means that individuals’ right to privacy must be prioritised before commercial and institutional interests.

Privacy – Our processing of data must take place with respect for privacy and under the protection of personal information. Consideration should always be given to what data is needed, from which sources data is to be obtained and how sensitive this data is considered to be. Content, scope and sharing of individuals’ personal data should be limited as much as possible and not stored for longer than absolutely necessary.

Self-determination – Our processing of data must support individuals in making informed and independent choices. It must not diminish, limit or mislead individuals’ self-determination. Only limited by mandatory law, individuals should have control over their own data, including control over what data is collected, what it is used for and in what contexts.

Equality – Our processing of data must not discriminate on the basis of ethnicity, sexuality, gender, socio-economic background, political opinions, religion, trade union membership, genetic data, biometric data, disability or other health-related data. In addition, processing of data must not reproduce prejudices that marginalize and stigmatize any part of the population

So, what do we actually do?

AJ Vaccines wants to ensure a high and adequate level of data protection and cyber security. Protection of privacy, personal data and cyber security is a central element in gaining and maintaining trust with our employees, business partners and end users of our products.

AJ Vaccines has therefore introduced a number of detailed data protection and cyber security policies that ensures that we comply with our own values and principles as well as all relevant laws and regulations, including but not limited to, the General Data Protection Regulation.

With adoption of these policies, AJ Vaccines has implemented measures including technical and organisational measures and allocated responsibilities to protect personal data.

Moreover, with the adoption of these policies we have increased awareness of data protection as well as implemented training of employees involved in processing activities.

In addition, these policies stipulate that personal data must always be:

• Processed legally, fairly and in a transparent manner in relation to the data subject;

• Collected for explicitly stated and legitimate purposes and must not be further processed in a way that is incompatible with these purposes;

• Sufficient, relevant and limited to what is necessary in relation to the purposes for which they are processed;

• Correct and, where necessary, up-to-date; every reasonable step must be taken to ensure that personal data that are incorrect in relation to the purposes for which they are processed are promptly deleted or rectified;

• Stored in such a way that it is not possible to identify the data subjects for a longer period of time than is necessary for the purposes for which the personal data in question is processed; and

• Processed in a way that ensures adequate security for the personal data in question, including protection against unauthorized or unlawful processing and against accidental loss, destruction or damage, using appropriate technical or organizational measures. 

Ownership of the Policy

The Policy is owned and reviewed by AJ Vaccines’ IT-department, which oversees ongoing updates and changes. The Policy will be reviewed when the circumstances warrant it and at least once a year
